Help

The purpose of the Fox Studios Australia (FSA) Visitor  System is to provide an efficient platform for Studio Partners and Staff to communicate the requirement for access for their business visitors to the lot.

The system is managed by the FSA Management Team.

It allows our FSA Security Team the ability to:

  • Maintain accurate records of visitors to the lot, inclusive of total estimated numbers to be expected on any given day
  • Ensure visitors are sent to the location required
  • Manage parking of those required
  • Have access to accurate contact information for visitors in case of an emergency

When a Tenant or Production leases a space on the lot, they are provided a Username and Password which allows access the Visitor System. This is often a shared log in, which is given to a designated person within the business.

When on the log in page (visitors.foxaus.com), please enter the username and password supplied. After successful authentication, the user is sent to the home page.

To maintain the security of this site, tenants should regularly change their password for the system. If a staff member has left and has previously had access to the businesses visitor system password, passwords should be changed so that no unauthorised entries could be made by previous staff.

If there is a requirement to change your password, please email helpdesk@foxaus.com.

The homepage has a top menu and current announcements at the bottom of the page. The top menu allows the user to access:

  • Your Visitors
  • Add a New Visitor
  • Pass Applications ** Coming Soon **
  • News
  • Help

If you have tenant access privileges, you will only see visitors for your specific organization.

At the top, you will see “Your Visitors > (number)”. This shows how many visitors you have listed for your business today. By default, when first logging on, you will see visitors arriving for today sorted by arrival time.

The search facility allows any user to narrow down the search list to a specific visitor. The defaulted version is the simple search bar and allows you to enter any identifying item for your visitor.  For example, you may wish to search for John Smith who is from the external company Bloggarama. You can simply type in the box “john”, “smith”, “bloggarama” and any of these options should lead you to the visitor you require. The search bar will also accept partial words such as “jo”, “smi”, “blog” and all should still narrow down the number of persons, bringing you closer to your visitor.

If you wish to use the Advanced Search, please click “Advanced” at the end of the search box. This will allow you to amend start and finish dates, names and companies etc. Use of the Advanced Search will also allow you to search past visitors who have been previously listed for your business.

When reading the visitor display line, you will see Arrival Date / Time, Name, Company, Check In / Confirmation and Edit.

The Confirmation tick will turn green when the visitor has been processed by the Security Team. If you chose to receive confirmation via email, this will come through at the same time.

The Edit button allows a user to either edit an entry for a user or view an entry in its entirety. A visitor entry can only be edited if the visit starts today or in the future. Once the visit has commenced, the entry can only be viewed.

If you wish to delete a visitor, please click the Edit button and then the DELETE button at the bottom of the record.

The Add a New Visitor button allows a user to add a new visit for a tenant. By default, the add button will present a blank screen for the user to fill in, with the dates set to todays date and the tenant set to your tenant name if you are a tenant.

Please complete the form with all information required. If you wish to receive confirmation of you visitor arriving, please click the “Receive Arrival Confirmation” tick box. If you are logging this visitor for another staff member and they wish to receive the confirmation, please enter their email address under “your email”.

Gatehouse Instructions are any type of additional information which you need the Security Team to know. This could be instructions on where to send the visitor, how long they will be here, if you need someone called to be notified of their arrival, if they are parking in a specific parking location etc.

The “Save and Continue” button on the visitor detail view allows the user to complete a form for multiple entries. By default, this button will look for the last entry made by the user logged on and populate the add/edit detail screen with that information, except for the visitors name. This facility exists so that users who have to enter many entries do not have to keep keying in the same information. Many visitors can be added quickly by simply typing in the first and last name and pressing “Save and Continue“.

The “Save and Finish” button allows the user to save the current entry and then return to the Visitor List to display the entries they have made.

The Clear button will clear all data from the form, resetting the start and end dates to the next business day.
